Privacy Policy

This policy explains what happens to the personal data you share with Digital Hive through this website, and what does not happen to it.

Who we are

Digital Hive BV (company number 0776.689.985, registered office Helvetiastraat 76, 3560 Lummen, Belgium; office Officenter, Hendrik van Veldekensingel 150, 3500 Hasselt) is the controller of your personal data. For anything about your data, write to [email protected].

No cookies, anonymous statistics

This website sets no cookies and has no advertising, no social media widgets and no externally hosted fonts. Browsing it does not create a profile of you, which is also why you do not see a cookie banner.

To know which pages are read and which posts or campaigns bring visitors, we count visits with Umami, a privacy-friendly statistics tool. It records the page you visit, the page or site you came from (including campaign tags in the link, such as utm_source), your browser, operating system, device type, screen size, language and approximate location (country, region, city). When you send one of our forms, it records which form you used, never what you typed into it.

Umami does not use cookies or store anything on your device, and it does not store your IP address. It uses your IP address only in passing to derive the approximate location and to recognize a visit through an irreversible hash. We cannot identify you from these statistics and they are never combined with other data or used to follow you across other websites. If your browser sends a Do Not Track signal, your visit is not counted at all.

  • Why: to understand how the website is used and improve it.
  • Legal basis: our legitimate interest in measuring the reach of our website and communication (GDPR art. 6(1)(f)).
  • How long: the statistics are kept for 6 months.

Like any web server, our hosting provider technically processes your IP address to deliver the pages to you and to protect the service against attacks. We do not use it to identify or track you.

What you send us through a form

When you use the contact form, the Marketing Scan or a job application form, we receive what you fill in: your name, e-mail address and message, and depending on the form your phone number, area of interest, the vacancy, your LinkedIn profile and your CV.

The website does not store your submission. It is not written to a database or saved as a file. It is sent straight on as an e-mail, for a job application with your CV attached, to our mailbox [email protected]. That e-mail is the only copy.

Contact form and Marketing Scan

  • Why: to answer your question, or to prepare the scan or proposal you ask for.
  • Legal basis: steps you ask us to take before a contract (GDPR art. 6(1)(b)) and our legitimate interest in answering business enquiries (art. 6(1)(f)).
  • How long: up to 2 years after our last contact about your request. If it leads to a contract, as long as that contract and the law require.

Job applications

  • Why: to assess your application and contact you about it.
  • Legal basis: steps you ask us to take before an employment or service contract (art. 6(1)(b)).
  • How long: up to 6 months after the vacancy is filled. Longer only if you agree, so we can contact you about a future role (art. 6(1)(a)). You can withdraw that agreement at any time.

Deleting the e-mail deletes your submission and CV. If you are hired, your application becomes part of your personnel file, and we inform you separately how we handle employee data.

Spam protection. To limit abuse, we count form submissions per visitor per hour. The counter does not contain your IP address, only an irreversible hash of it and the hour, and is deleted automatically once that hour is over.

We do not sell your data, do not use it for newsletters or marketing without asking you first, and do not use it for automated decisions about you. Only the colleagues who need it to handle your request or the vacancy have access to it.

Processors

We use three providers, each bound by a data processing agreement and acting only on our instructions:

  • DigitalOcean hosts the website and the form handler in its Amsterdam (EU) data center. The pages are delivered through its content delivery network, which is provided by its sub-processor Cloudflare.
  • Microsoft (Microsoft 365) delivers and stores the e-mail containing your submission.
  • Umami Software, Inc. provides the visitor statistics described above, stored in its EU region.

All three belong to US-based groups. Where data may be accessed from outside the European Economic Area, the transfer is covered by the EU–U.S. Data Privacy Framework or the European Commission’s Standard Contractual Clauses.

We share personal data with anyone else only when the law requires us to.

Your rights

You have the right to access your data, to have it corrected or deleted, to restrict or object to its processing, and to receive it in a portable format. Where we rely on your agreement, you can withdraw it at any time; this does not affect what we did before. Send your request to [email protected]; we answer within one month.

If you think we handle your data incorrectly, please tell us first. You can also complain to the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels (dataprotectionauthority.be).

This website links to sites we do not operate, such as LinkedIn. Their own privacy policies apply there.

Changes

We update this policy when what the website does changes, for example if we ever add a service that sets cookies or collects more than the statistics above. The date below shows the latest version.
